Terms of Use
Last updated August 26, 2026. This is a thorough working draft built from industry-standard practice for community platforms that host outings and member photos. It is not a substitute for review by a licensed attorney in your jurisdiction, and should get that review before any paid or broad public launch.
1. What CrewOutings Is
CrewOutings is a private, invite-only platform for clubs and affinity groups. Each club ("tenant") is its own private space. Content posted in a club is visible only to that club's active members, never to other clubs or the public, except for whatever a club's admin explicitly chooses to make public on that club's opt-in public profile page. Membership is currently free.
2. Eligibility and Accounts
You must be at least 18 years old and able to form a binding contract to create a CrewOutings account. CrewOutings accounts are for adults; the platform does not knowingly collect personal information directly from anyone under 13, and does not offer separate accounts for minors. Section 5 covers content that depicts a minor without the minor holding their own account.
You are responsible for the accuracy of your account information, for keeping your sign-in access secure, and for all activity that happens under your account. Membership in a specific club beyond the platform account itself is invite-only and at that club's admins' discretion.
3. Outings, Physical Activity, and Assumption of Risk
Outings organized through CrewOutings may involve physical activity, including, for outdoor and paddling clubs, activity on or near water, that carries inherent risks of injury, property damage, or death, whether or not those risks are obvious or specifically described. You voluntarily assume all risks of participating in any outing, whether organized through the platform or independently by club members.
Where a club requires it, you must acknowledge a liability waiver before RSVPing "going" to a specific outing; that acknowledgment is a condition of attending, not a substitute for your own judgment about your own readiness, equipment, and the conditions on the day. CrewOutings is a coordination tool, not an outfitter, guide service, or safety authority: weather and water-conditions data shown for an outing come from third-party sources (the National Weather Service and USGS) and are informational only, not a safety certification of any outing or route.
You are solely responsible for your own decision to participate in, lead, or organize any outing. CrewOutings does not vet organizers, verify anyone's qualifications, or guarantee the safety of any outing, route, or location. To the fullest extent permitted by law, CrewOutings and its operators are not liable for any injury, loss, or damage arising from participation in an outing.
4. Your Content: License and Your Responsibility for It
You keep ownership of the posts, photos, and other content you submit. By posting content, you grant CrewOutings a non-exclusive, worldwide, royalty-free license to host, store, reproduce, and display that content solely to operate the platform: showing it to your club's members, generating thumbnails and exports, and similar operational uses. This license ends for a given piece of content when you delete it, except for residual copies kept briefly for backups or as required by law.
Photos are stripped of embedded location (GPS/EXIF) metadata before storage. This protects location privacy; it does not change who can see the photo itself within your club.
By posting content, you represent that: it's yours to post, or you have the necessary rights and permissions from whoever does; it doesn't infringe anyone's copyright, trademark, privacy, or other rights; and, where the content depicts another identifiable person, you have that person's permission to post it in the club (see Section 5 for content depicting minors specifically). You are solely responsible for the content you post.
5. Content Depicting Other People, Including Minors
Club outings and events often produce photos that include people other than the poster, including children who are not themselves platform members. If you post a photo or other content that identifiably depicts another person:
You represent that you have the permission of that person (or, if they are a minor, of their parent or legal guardian) to post it within the club. Use ordinary judgment and your club's own norms. A good default is: if you wouldn't be comfortable showing this to that person or their parent directly, don't post it.
A parent or legal guardian may request removal of any content depicting their minor child at any time, whether or not they are a CrewOutings member themselves, without needing to show a copyright interest in the content. See Section 6. CrewOutings will act on a credible request promptly.
Club admins are encouraged to set clear, visible expectations with their members about photographing and posting images of other people's children at club events, separate from and in addition to this policy.
6. Reporting Content and Requesting Removal
Any member can report a post, comment, or member within their club using the in-app report tool; a club's admins and moderators review reports for that club and can remove content or suspend a member.
For anything the in-app report tool doesn't cover (a copyright claim, a request under Section 5 to remove content depicting a minor, or an account-level issue), contact nathan.vaughn.tn@gmail.com (a dedicated address, e.g. legal@crewoutings.com, is recommended before broader public launch, but this is the current, actually-monitored contact). A copyright claim should identify the content, your rights in it, and your contact information, consistent with 17 U.S.C. § 512 notice-and-takedown practice; a minor-photo removal request under Section 5 only needs to identify the content and the requester's relationship to the minor. CrewOutings will disable or remove access to content in response to a credible, complete notice, and may terminate the accounts of members found to be repeat infringers or repeat violators of this policy.
If you believe your own content was removed in error, you may submit a counter-notice to the same address explaining why; CrewOutings may restore the content after a reasonable waiting period unless the original notifying party pursues the matter further, consistent with standard DMCA counter-notice practice.
7. Community Standards and Enforcement
We may remove content, restrict features, or suspend or terminate accounts that violate these terms, a club's own rules, or that we determine in good faith are harmful, abusive, illegal, or unsafe, including content that violates Section 5. Deleting your account removes your access; some content associated with your account inside a club may remain unless you or the club specifically delete it, per the club's own moderation history needs.
8. Your Data
You may request export or deletion of your data at any time. An in-app "Wipe All My Data" tool exists on your account; you can also contact your club admin or nathan.vaughn.tn@gmail.com directly. See the Privacy page for what's collected and why.
9. Store, Affiliate Links, and Other Products
CrewOutings may earn a commission on purchases made through affiliate links in a club's store. Affiliate links are disclosed at the point of use. With your consent, CrewOutings may also occasionally show you products from other projects we build. You control this in Account Settings, and it is off by default.
10. Disclaimers and Limitation of Liability
CrewOutings is provided "as is" and "as available," without warranties of any kind, express or implied, including fitness for a particular purpose, non-infringement, or that the service will be uninterrupted, error-free, or secure. To the fullest extent permitted by law, CrewOutings and its operators are not liable for indirect, incidental, special, consequential, or punitive damages, or for any amount exceeding what you paid CrewOutings (if anything) in the twelve months before the claim arose. Nothing in this section limits liability that cannot be limited under applicable law.
11. Changes to These Terms
We may update these terms as the platform changes. Material changes will be reflected by updating the "Last updated" date above; continued use after a change means you accept the updated terms.
